This Privacy Policy describes how your information is collected, used, and shared when you use the SnapCal mobile application (the "Service"). This policy has been created to be compliant with applicable data protection laws, including the UK General Data Protection Regulation (UK GDPR).
The Service is operated by the developer of SnapCal ("we", "us", or "our").
By using the Service, you agree to the collection and use of information in accordance with this policy.
1. Information We Collect
We collect several different types of information for various purposes to provide and improve our Service to you.
a) Personal Data
While using our Service, if you choose to create an account, we may ask you to provide us with certain personally identifiable information that can be used to contact or identify you ("Personal Data"). This information includes:
- Name
- Email Address
- Profile Photo
b) Image Data
To provide the core functionality of the Service, we require access to your device's camera and/or photo library.
Photos for Scanning: When you select a photo or use the camera within SnapCal, the image is sent to a third-party service (OpenAI) for analysis to extract event details. We do not store your photos on our servers after the analysis is complete.
c) Usage Data (Analytics)
We use Firebase to collect information on how the Service is accessed and used ("Usage Data"). This Usage Data is anonymised and may include information such as your device's Internet Protocol address (e.g., IP address), device type, operating system version, the pages of our Service that you visit, the time and date of your visit, the time spent on those pages, and other diagnostic data. This information helps us understand user behaviour and improve the app.
2. How We Use Your Information
We use the collected data for the following purposes:
- To Provide and Maintain the Service: To allow you to scan images and create calendar events.
- To Manage Your Account: To create and manage your user account.
- To Improve Our Service: To understand how our app is used and to make improvements to its functionality and user experience.
- To Provide Customer Support: To respond to your requests and questions.
3. Third-Party Services
We use third-party services to operate and improve SnapCal. These third parties have their own privacy policies addressing how they use such information.
- OpenAI: We use OpenAI's vision and AI capabilities to analyse the images you provide and extract event information. Your images are sent to OpenAI for processing. We encourage you to review OpenAI's Privacy Policy.
- Firebase (Google): We use Firebase for backend services, including user authentication, analytics, and crash reporting. Firebase's services are governed by Google's Privacy Policy.
3A) Google User Data and Google API Services
SnapCal integrates with Google services so that you can create calendar events in your Google Account. When you choose to sign in with Google and connect your calendar, we may access limited Google user data in order to provide this functionality. This section discloses how we access, use, store, share, and delete Google user data.
- Access: With your explicit consent via Google Sign‑In, we obtain your basic profile information (name, email, profile photo) and a calendar permission limited to creating events on your behalf. We do not access the contents of your existing calendar events beyond what is technically necessary to let you choose a destination calendar.
- Use: We only use Google user data to authenticate you and to create the calendar events that you confirm inside the app based on text extracted from your images. We do not use Google user data for advertising or for building user profiles.
- Storage: We do not store Google Calendar event content or other Google user data on our servers. OAuth tokens required to perform actions are stored securely on your device (e.g., Keychain/Keystore) and are not shared with our servers, except transiently when required to complete the Google API request.
- Sharing: We do not sell or share Google user data with third parties. Google user data is only transmitted to Google to fulfil the actions you request (e.g., creating a calendar event). Image analysis performed by OpenAI is separate and does not include access to your Google Account.
- Deletion: Because we do not persist Google user data on our servers, there is nothing for us to delete beyond tokens stored on your device. You can remove these by signing out in the app or uninstalling the app. You can also revoke SnapCal's access at any time from your Google Account settings: Google Account > Security > Third‑party access.
- Limited Use Compliance: SnapCal's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We only use data to provide or improve app features that you interact with (authenticating and creating calendar events), we do not transfer the data except as necessary to provide the feature, and we do not use it for serving ads.
If we ever need additional Google scopes in the future, we will clearly explain the request in‑app and update this policy before enabling new functionality.
4. Data Retention and Deletion
We retain your Personal Data (name, email, profile photo) only for as long as is necessary for the purposes set out in this Privacy Policy, or as long as you maintain an account with us.
You have the right to request the deletion of your personal information. If you wish to delete your account and associated data, please contact us at the email address provided below. We will take reasonable steps to delete your information from our active systems.
5. Your Data Protection Rights under UK GDPR
As a user in the United Kingdom, you have certain data protection rights, including:
- The right to access, update or delete the information we have on you.
- The right of rectification.
- The right to object.
- The right of restriction.
- The right to data portability.
- The right to withdraw consent.

Our Service does not address anyone under the age of 13. We do not knowingly collect personally identifiable information from anyone under the age of 13. If you are a parent or guardian and you are aware that your child has provided us with Personal Data, please contact us.
